Marriott Reservation and Cancellation Policies
- CRITICAL DEADLINE NOTICE: Please pay special attention and note that our hotel room block cutoff date is significantly earlier this year than in the past. The cancellation date is also significantly earlier. To secure your room at the group rate, please book as soon as possible. Once the block is full or the deadline passes, we cannot guarantee room availability or pricing.
- Reservation & Cancellation Deadline: Thursday, November 11.
- Full payment for your reservation will be charged on November 11. After this date, cancellations will no longer be eligible for a refund.
- Additionally, the hotel has the right to charge an Early Departure Fee if an attendee checks out of the hotel before the attendee’s scheduled departure date, without having notified the hotel by 12:00 midnight the day after check-in of the change in scheduled departure.
- Please be aware that the hotel reservation deadline is firm. If you do not make your reservation by the deadline, our ability to assist with securing accommodations afterward will be extremely limited, if not impossible. We encourage everyone to book as soon as possible to avoid any issues.
Run of house rooms (limited) are $580 and run of ocean rooms are $680 plus taxes and fees below:
- 12.5% room tax
- $69 resort fee + tax
- $3.50 Environmental and AHATA (Aruba Hotel and Tourism Association) Levy
- $8 per room roundtrip porterage gratuity
- $4 per room per day housekeeping gratuity
The resort fee includes non-motorized watersports, 30 min of international calls from your hotel room landline, local calls, fitness classes, internet access, 3 bottles of water per room daily, and a welcome drink upon arrival.

The reservation and cancellation date is November 11, 2026, or when the block is full.

Housing Pirate Email Information
It has come to our attention that some VTCA members have received emails from an outside “*Housing Pirate,” offering discounted hotel room rates through a fraudulent booking link for the VTCA Winter Meeting. VTCA has NO affiliation with these organizations and in no way endorses their services.
If you receive (or have received) any communications confirming your “booking” or offering “exclusive access”, “premium accommodations”, or other offers for lodging, you are urged NOT to click on any links within the email, mark it as spam, and delete it.
VTCA has not partnered with any 3rd party lodging service. VTCA strongly encourages you to make reservations directly with the meeting hotel through our website or emails clearly originating from VTCA. Reservations made through other unauthorized sources will not guarantee a room and may be part of a broader phishing scheme to obtain your personal and credit card information.

Please note that sometimes fraudulent emails will offer to sell you registration or attendee lists for VTCA conferences and meetings. We do not sell or authorize the release of any registration list to or through third parties. This is also a scam.
*What is a Housing Pirate? - A "housing pirate," often also called a "room poacher," is a company or individual that falsely represents themselves as the official housing provider for an event (like a conference or convention).
Their goal is to solicit attendees and exhibitors to book accommodations through them, often using deceptive tactics by 1.) Misrepresenting affiliation: Illegally using the event's name or logo 2.) Creating false urgency: Claiming the official room block is almost sold out. 3.) Offering fake deals: Advertising supposedly discounted rates.
